🌟 Your Role: Office Manager, France

As the Office Manager for our France office, you'll play a vital role in ensuring the smooth day-to-day operations and creating a positive work environment for our employees. You'll collaborate closely with the People, Finance, and Ops teams to provide exceptional support in administrative and office management tasks.

🌟 Your Mission:

  • Paris Office Operations and Administration:

    • Respond to daily requests from Hivebrite Workers to ensure their well-being at work.
    • Maintain a pleasant and comfortable office environment.
    • Implement and improve processes and systems for smooth office operations.
    • Create an inspiring work environment that reflects Hivebrite's values.
  • Office Operations and Administration:

    • Organize office layout and maintain equipment and furniture.
    • Liaise with suppliers, vendors, and contractors, negotiating contracts and monitoring quality.
    • Organize health and safety training and ensure adherence to workplace safety standards.
  • Employee Support and Onboarding:

    • Assist the People team with onboarding and offboarding processes to ensure a smooth orientation experience for new hires.
    • Support company European events and activities to foster a positive and inclusive culture.
    • Act as a point of contact for France office-related issues, resolving concerns effectively.
  • Budget and Expense Management:

    • Track and manage the office budget, including expenses related to facilities, supplies, and other administrative costs.
    • Prepare and present budget reports, identifying opportunities for cost-saving.
  • Event Planning and Coordination:

    • Support the Workplace Experience team in animating the Hivebrite community through frequent internal and external events.
    • Act as a logistic point of contact for events organized by different departments.
    • Organize logistics for meetings, conferences, and travel arrangements for employees.

🌟 You Might Be a Fit If You Have:

  • At least one year of experience as an Office Manager or Office Coordinator in a fast-growing company, ideally in an international environment.
  • Exceptional organization skills and strong attention to detail with a keen eye for accuracy.
  • Ability to remain calm under pressure, effectively prioritize, multitask, and manage time.
  • Strong project management and change management capabilities.
  • Excellent communication skills in English, both with the team at large and across office locations (US, Europe, and APAC).
  • A passion for creating an inclusive and welcoming work environment.

  • A 45-minute video call with our Talent Acquisition Manager, Max.
  • A 1-hour video call with ClĂ©mence, our VP People and your potential future manager, to discuss the job description in detail and understand your expectations.
  • A 1-hour video call with MĂ©lodie and Evann (Talent Acquisition Manager US) to meet other members of the People Team.
  • A 30-minute meeting with Valentin (IT Manager), with whom you may collaborate on projects.
  • A final meeting with Jean, our CEO, to discuss your fit with Hivebrite.

Our recruitment process typically takes a maximum of 15 working days, and we aim to deliver an offer within 48 hours of the final interview!
